The firm’s Finance Department is looking for an enthusiastic and energic Client Intake Manager. This position will enhance the intake and set up of new clients and matters in line with client requirement, firm financial policies, and billing processes.
This opportunity is available as a hybrid work schedule.
Responsibilities:
- Oversee the finance new business intake workflow, ensuring timely and accurate onboarding of new clients and matters
- Ensure all new engagements comply with firm financial policies and risk management guidelines
- As firm subject matter expert, enhance and automate intake processes as part of firm billing improvement initiative
- Implement and refine intake technologies and processes to streamline data entry, approvals, and tracking, and distribution of client requirements across firm systems such as time entry and billing
- Assist firm efforts for KYC and risk mitigation through compliance with firm retainer requirements
- Work closely with administrative and legal teams to ensure a seamless intake-to-billing workflow
- Identify and implement improvements to the intake process to reduce delays and errors, and promote automation and continuous improvement for new client engagements and intake
- Maintain high standards of data accuracy for client and matter information and reporting
- Develop and monitor performance metrics for the intake process, including turnaround times, errors rates, and data validation
- Provide training and materials to ensure awareness of intake procedures and ensure clear communications and efficient processes
Qualifications:
This position requires extensive experience with the billing, collections, and eBilling functions of a law firm.
- Minimum 8+ years of experience
- Bachelor’s degree or equivalent combination of education and experience
- Experience with Aderant and Intapp strongly recommended
- Advanced knowledge of Microsoft Excel
- Strong service-oriented skills including excellent interpersonal and communication skills, including group session facilitation
- Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
- Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices
The primary location for this job posting is in Palo Alto, but other locations may be listed. The actual base pay offered will depend upon a variety of factors, including but not limited to the selected candidate’s qualifications, years of relevant experience, level of education, professional certifications and licenses, and work location. The anticipated pay range for this position is as follows:
San Francisco and Silicon Valley: $131,750 – $178,250 per year
Austin, Boston, Boulder, District of Columbia, Los Angeles, New York, San Diego, Seattle, and Wilmington: $119,000 – $161,000 per year
Salt Lake City and all other locations: $105,400 – $142,600 per year
The compensation for this position may include a discretionary year-end merit bonus based on performance. We offer a highly competitive salary and benefits package.
