The firm is seeking a Litigation Administrative Assistant who will provide high-quality administrative and legal support to attorneys and paralegals within the Litigation Practice Group. This entry-level position is designed for individuals developing foundational skills in litigation support, case management, and document preparation. Working closely with senior administrative professionals and attorneys, the Litigation Administrative Assistant ensures smooth daily operations and supports efficient delivery of client services.
This position is eligible for a hybrid work schedule onsite Tuesday-Thursday each week.
Responsibilities:
- Learn core administrative processes within the Litigation Department, including document management, filing, calendaring, and workflow coordination.
- Rotate between key teams to gain hands-on experience with different areas of litigation practice support.
- Shadow seasoned Litigation Executive Assistants to observe best practices and develop technical and procedural proficiency.
- Participate in department meetings, trainings, and social events to build connections and enhance understanding of firm culture and operations.
- Gradually take on responsibilities for attorney support under supervision, progressing toward independent task management.
- Assist attorneys and senior administrative staff with preparation, formatting, proofreading, and finalization of pleadings, discovery, correspondence, and other legal documents.
- Support attorneys with electronic court filings (state and federal) under supervision.
- Maintain electronic case files ensuring accuracy, organization, and compliance with firm filing protocols.
- Track and maintain case-related deadlines, court appearances, and filing schedules.
- Coordinate with Distribution for mail and courier services and handle large document printing through the Copy Center or external vendors as needed.
- Coordinate meetings, depositions, conference calls, hoteling office bookings, and travel arrangements as needed.
- Process expense reimbursements, enter attorney time, and handle related administrative tasks per firm policy.
- Collaborate with departments such as IT, Records, and Docketing to facilitate workflow and resolve administrative issues promptly.
- Handle confidential and sensitive information with discretion and professionalism.
- Provide back-up support to other assistants and departments during absences or high-volume periods.
Requirements:
- Bachelor’s degree preferred.
- Completion of a legal secretary or paralegal program a plus.
- 2+ years of administrative experience, preferably in a professional services or law firm environment.
- Proficiency in Microsoft Office Suite (Word, Outlook, PowerPoint, Excel), and PDF editing tools
- Willingness to learn new firm platforms, including AI.
- Strong organizational skills, attention to detail, and verbal/written communication.
- Ability to prioritize tasks and manage multiple assignments.
- Willingness to support teammates and provide back-up coverage when needed.
- Must be able to work under pressure while maintaining a positive attitude and providing exemplary customer service.
- Ability to work both independently and collaboratively in a fast-paced, deadline-driven environment.
- Hybrid in-office schedule required, with flexibility to work overtime or adjust hours on short notice based on business needs.
- High level of professionalism, reliability, and client-service orientation.
The primary location for this job posting is in Palo Alto. The actual base pay offered will depend upon a variety of factors, including but not limited to the selected candidate’s qualifications, years of relevant experience, level of education, professional certifications and licenses, and work location. The anticipated pay range for this position is as follows: $38.12 – $51.57 per hour.
The compensation for this position may include overtime and a discretionary year-end merit bonus based on performance. We offer a highly competitive salary and benefits package.
