The Alumni Relations Assistant will assist the Manager of Alumni Relations and the Senior Manager, Attorney Recruiting Marketing in all aspects of the alumni program with the goal of significantly enhancing the Firm’s alumni network and leveraging the Firm’s alumni relationships.
This position is available as a hybrid work schedule.
Essential Job Functions and Responsibilities:
- Assisting the Manager of Alumni Relations with planning and coordination of alumni events, activities, and professional development programs.
- Assisting the Manager of Alumni Relations with establishing a standard format for alumni events and creating an alumni events toolkit for partners and marketing team members who support local alumni initiatives.
- Validating, updating, and maintaining alumni contact and employment information in Salesforce and/or other firm systems. Researching key alumni to update their database entries.
- In conjunction with the other firm staff, coordinating attorney departure process including departure gift, farewell event, alumni portal account creation and management, and information transfer to Salesforce.
- Assisting the Manager of Alumni Relations with content development for the Firm’s alumni website and portal and external and internal alumni-focused communications. Deploying content though social media, the alumni website, and the firm’s various other communications channels.
- Working with the Events and other teams to plan and execute alumni events, including small group dinners, casual networking events, and larger alumni events, as well as integrating alumni into other firm virtual and in-person events.
- Approving registration requests for the alumni portal and social media.
- Preparing and reviewing reports from Salesforce, the alumni website, and other sources.
- Ordering and managing inventory for alumni relations team swag and gifts.
- Monitoring the Alumni Relations team email inbox and forwarding or responding as necessary and assisting with alumni portal log-in troubleshooting.
- In conjunction with the Career Development and Friends of the Firm, updating and maintaining alumni job board and resources.
- Acts as a knowledgeable, Firmwide resource for alumni-related information and data.
- Updating the Alumni Relations intranet page as necessary.
- Processing and tracking all Alumni Relations program and team member expenses and invoices.
- Assisting the Senior Manager, Attorney Recruiting Marketing, and Manager of Alumni Relations with monitoring attorney alumni relations budget.
- As the alumni program grows, other duties as assigned.
- Time permitting, the Alumni Relations Assistant may become involved in assisting with special projects for the Senior Manager, Attorney Recruiting Marketing and for the Firm.
Qualifications/Education and/or Experience:
- Bachelor’s degree preferred; equivalent experience will be considered.
- Minimum of 1 year administrative experience in a law Firm, professional services, or corporate environment.
- Self-motivated with good organizational, communication and time management skills.
- Ability to work under pressure, multitask, prioritize conflicting demands while maintaining high attention to detail and quality.
- Working knowledge of Salesforce and PeoplePath highly desirable.
- Strong judgment, flexibility and professionalism, and the ability to be a team player.
- Ability to maintain confidentiality and ability to provide excellent service.
- Reliability, dependability, and strong motivation to respond to requests quickly.
- Must work well with all levels of Firm personnel, establish effective working relationships throughout the Firm and react to challenging situations appropriately.
The primary location for this job posting is in Palo Alto, but other locations may be listed. The actual base pay offered will depend upon a variety of factors, including but not limited to the selected candidate’s qualifications, years of relevant experience, level of education, professional certifications and licenses, and work location. The anticipated pay range for this position is as follows:
San Francisco and Silicon Valley: $24.52 – $33.18 per hour
New York: $22.07 – $29.86 per hour
The compensation for this position may include overtime and a discretionary year-end merit bonus based on performance. We offer a highly competitive salary and benefits package.
