The Firm is seeking a Filing Specialist to join the patent litigation department. This is a full-time role. The primary day-to-day functions of the position include assisting attorneys and case teams by filing and lodging documents with the U.S. Patent and Trademark Office (USPTO), Patent Trial and Appeal Board (PTAB) and the U.S. Court of Appeals, Federal Circuit (CAFC). The role will additionally assist the group with internal docketing processes, maintain such internal docketing processes, and work closely with the firm’s litigation calendaring tools and team. An important function in this role will be to assist in training other administrative support staff in e-Filing, docketing, and related administrative tasks. Flexibility is important as the responsibilities of this role evolves. 

Solid communication skills and experience working under tight deadlines are essential. Candidate must demonstrate the ability to calmly execute required tasks amidst high-stress situations and time-crunches.

Responsibilities:

  • Drafting, formatting, editing, and e-filing documents with the USPTO, PTAB and CAFC, including for example, notices, admissions, briefs, exhibits, appendices, requests for inter partes review and post-grant review, requests for hearings, etc.
  • Reviewing legal documents for compliance with administrative document filing requirements and providing feedback to attorneys
  • Effectuating service and coordinating the delivery of chambers’ copies; acting as liaison between attorneys and federal agency/court clerks for reserving hearings or court administrative tasks
  • Coordinating and interacting with foreign counsel and state agencies on foreign filing instructions and requirements
  • Maintaining dockets and updating practice group on new activity, pending filings and submissions, new appearances, due dates, orders, applications and decisions for relevant cases
  • Collaborating with practice group leadership to develop and continuously improve internal docketing and administrative filing processes and procedures, and maintaining internal docketing function on a live, ongoing basis, including training and serving as a resource for the attorneys and administrative staff
  • Assisting attorneys with establishing e-Filing credentials (as needed) and maintaining a centralized system for participating attorney e-Filing credentials with federal agencies and courts
  • Acting as file keeper, including downloading, circulating and filing relevant documents in the firm’s document management systems
  • Requesting conflict checks, opening new client matters, drafting and editing engagement letters
  • Performing general research
  • Coordinating coverage to meet filing demands of clients and practice group

Job Requirements:

  • Required 3+ years of experience e-Filing documents with USPTO, PTAB and CAFC
  • Strong working knowledge of applicable administrative requirements relating to e-Filing and document standards among the various federal agencies and courts, including for complex and voluminous filings
  • Proficiency in MS Office Suite (Excel, Word) and Kofax Power PDF, or similar PDF software
  • Proficiency with legal citations and Bluebook formatting
  • Experience with tools for generating and editing tables of content and authorities preferred
  • Experience with internal docketing processes and tools preferred
  • Bachelor’s degree or equivalent experience preferred

The primary location for this job posting is in Seattle. The actual base pay offered will depend upon a variety of factors, including but not limited to the selected candidate’s qualifications, years of relevant experience, level of education, professional certifications and licenses, and work location. The anticipated pay range for this position is as follows:

Austin, Boston, Boulder, District of Columbia, Los Angeles, New York, San Diego, Seattle, and Wilmington: $43.21 – $58.46 per hour

The compensation for this position may include overtime and a discretionary year-end merit bonus based on performance. We offer a highly competitive salary and benefits package.
