We are looking for a Corporate Executive Assistant in the Austin Office. This position will support multiple attorneys and offers a wide range of responsibilities requiring strong administrative, organizational, knowledge, and legal practice skills. The ideal candidate will be professional, proactive, able to learn new software and tools for legal administrative support, a self-starter, and committed to producing high-quality work with a standard of excellence in all that they do.

Responsibilities:
- Coordinate and plan meetings and travel arrangements
- Document production and editing
- Draft engagement letters, waiver letters, and disclosure letters
- Manage all aspects of audit letters
- Project coordination
- Client relationship contact management
- File preparation and maintenance
- Maintain and monitor attorneys’ calendars and email
- Professional communication and email correspondence with firm clients, including senior level executives
- Initiate new business and conflicts searches with conflicts department
- Liaison with business development department to gather materials for new business development, create slide decks, and/or binders
- Maintain business development data
- Update customer relationship management database (CRM)
- Process expense reimbursements
- Enter time into time entry system
- Upload invoices to accounts payable database
- Interface with finance team (pull client invoices, etc.)
- Maintain attorneys’ memberships in bar associations and professional organizations, including MCLE credits and dues
- Manage contact information for practice group, clients, and vendors
Qualifications:
- 5+ years of legal support experience within a law firm required
- Bachelor’s degree preferred
- Strong organizational and time management skills, and the ability to prioritize and meet deadlines
- Strong attention to detail, follow-up, and excellent organizational skills, with the ability to effectively prioritize tasks
- Excellent interpersonal, written, and verbal communication skills
- Proficient in Microsoft Office (Word, PowerPoint, Excel, and Outlook) is required
- Must be flexible and available for overtime work as needed
The primary location for this job posting is in Austin. The actual base pay offered will depend upon a variety of factors, including but not limited to the selected candidate’s qualifications, years of relevant experience, level of education, professional certifications and licenses, and work location. The anticipated pay range for this position is as follows: $34.31 – $46.42 per hour.
The compensation for this position may include overtime and a discretionary year-end merit bonus based on performance. We offer a highly competitive salary and benefits package.
