The firm is actively seeking an Administrative Assistant to join the Real Estate and Workplace Services Department for our Palo Alto office. This is an exciting opportunity to get hands-on experience providing support for the inhouse design team. Under the supervision of the Senior Manager of Workplace Design and Construction, the core function of this position is to support the smooth operation of the department.
Responsibilities:
- File construction project emails into a consolidated central location for the team
- Manage electronic filing of departmental construction files
- Receive construction project submittals and organize in a consistent manner
- Request, receive, sort and organize photos of recent and previously completed construction projects
- Help schedule internal and external meetings
- Help to create and edit presentations
- Maintain and update conference room database
- Work with Project Design Managers to add and update space management data
- Provide support for inhouse inquiries regarding prior submittals, space sizes, capacity, etc.
- Prepare expense reports for Workplace Design team as needed
- Provide administrative support for inhouse design team
- Assist with other projects as needed and respond to requests as needed
- Proofread all work with an eye for detail and accuracy
- Assist in tracking workplace square footage and capacities for comparison
- Update office workplace design guidelines as needed
- Convert firm artwork from hard copy to soft copy
Qualifications:
- 2+ years of administrative support experience required, preferably in a professional environment
- High school diploma; Associate degree preferred
- Must be able to work in-office 5 days per week
- Extremely detail-oriented, with superior proofreading skills and attention to detail
- Strong interest in construction, design, and interior renovation a plus
- Must be proficient in the use of Microsoft Office including, PowerPoint, Word, and Excel
The primary location for this job posting is in Palo Alto. The actual base pay offered will depend upon a variety of factors, including but not limited to the selected candidate’s qualifications, years of relevant experience, level of education, professional certifications and licenses, and work location. The anticipated pay range for this position is as follows: $24.52 – $33.17 per hour.
The compensation for this position may include overtime and a discretionary year-end merit bonus based on performance. We offer a highly competitive salary and benefits package.
