The firm is seeking a professional and welcoming Receptionist for our Boston office. This front-facing role is essential to our firm. The person in the role will warmly greet visitors, manage phone calls, and perform various administrative tasks to assist with the smooth front operation of our office. In addition to front desk responsibilities, this position will support and report to the Office Administrator. Duties may include welcoming visitors to the Boston office, tracking building access cards, assisting with hoteling offices, uploading invoices to the internal accounts payable database, preparing weekly administrative forms, and handling other assigned administrative projects.
Responsibilities
- Answer incoming calls and transfer them internally and externally using Microsoft Teams.
- Greet and assist clients, guests, vendors, and employees.
- Ensure all visitors are registered in the visitor management system.
- Schedule internal conference rooms, manage the conference center schedule, and arrange catering and technical equipment as needed.
- Assist with conference room setup, including food, beverages, and any special requests.
- Oversee onsite meetings to ensure everything runs smoothly and address requests from visiting guests.
- Assist with booking offices for visiting employees as necessary.
- Conduct monthly credit card reconciliation.
- Process invoices in the internal accounts payable database.
Education and/or Work Experience Requirements:
- Bachelor’s degree preferred.
- A minimum of 1 year of experience is required.
- Ability to work collaboratively in a team-oriented environment while exercising extraordinary discretion and maintaining client and attorney confidentiality.
- Capacity to learn, understand, and apply new business practices and software as needed.
- Proficiency in MS Office (Word, Excel, Outlook, Teams, etc.) is required.
- Must be flexible, able to work under pressure and meet deadlines while maintaining a positive attitude and providing exemplary customer service.
- Ability to work independently and carry out assignments. Experience in a professional services environment is preferred.
- Willingness to work overtime occasionally and adjust schedule as needed.
- Excellent verbal and written communication skills, including ability to effectively communicate with internal and external clients.
- Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
- Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
The primary location for this job posting is in Boston. The actual base pay offered will depend upon a variety of factors, including but not limited to the selected candidate’s qualifications, years of relevant experience, level of education, professional certifications and licenses, and work location. The anticipated pay range for this position is as follows: $22.07 – $29.86 per hour.
The compensation for this position may include overtime and a discretionary year-end merit bonus based on performance. We offer a highly competitive salary and benefits package.
